Production Approval Process

Before a project can collect real data it must be moved to Production mode.  Any project which collects real data while in development mode is  out of compliance with BMIC REDCap best practices and with University policy for managing research data.

These procedures are designed to maintain compliance with University of Utah Policies and Guidelines:

  • Policy 4-004: University of Utah Information Security Policy. Rev 4
University Information Technology Data Backup and Recovery Policy
Rule 4-004C Data Classification and Encryption Rev. 1

Before requesting that your project be moved to Production you should test, test and re-test.  Test data (fictitious) should be entered into each of your data forms while in development. Often this is helpful in exposing errors and ensuring you have captured all data elements needed for study analysis.  Remember to test your reports and data layout!  Once the project has been moved to production, you  will be able to move the project to draft mode and make modifications, which will then need to be approved by a REDCap administrator before taking effect to prevent data loss.

When a move to Production request is submitted, the project is reviewed by the REDCap team.  This review process is generally completed within one business day, however at peak volumes it may take longer.  Additionally, for projects which utilize certain REDCap features (eg Randomization) or are complex, the review process can extend beyond several days to a week, so plan accordingly.

The below articles provide guidance on ensuring your project is ready to be moved to production.
